The exchange curriculum is only filled out AFTER selection during the academic year preceding the academic year in which your exchange takes place and therefore you only make it for the partner university for which you have been selected. Here we agree on your study programme abroad.

  1. Check which courses and how many credits you would normally take at UGent during the period of exchange. You can consult the study guide and the exchange possibilities. GIT-students can contact the study counsellors of their programme or the International Office. You will not actually follow these courses, but they will be replaced by courses at the host institution.
  2. Consult all information about the partner institution you have been assigned to and go through it thoroughly (fact sheet, partner's website, partner's e-mail) and check which courses can be taken by exchange students and what the partner's conditions are to compose a programme/curriculum.
  3. Put together a provisional Exchange Curriculum and take into account the conditions of your programme. The number of credits you will take abroad is greater than or equal to the number of credits you would take during your exchange at UGent. So: number of credits taken in the curriculum during the exchange ≥ number of credits of UGent courses. The number of courses is not important, but the number of credits is. The difference should not be too big: if you notice that an extra UGent course (e.g. elective course) can be replaced on the basis of the number of credits abroad, you should check this with your exchange coordinator at UGent. A GIT-student going on exchange for bachelor and master has to check if the above mentioned condition is fulfilled (number of credits in curriculum in exchange BACHELOR ≥ number of credits UGent subjects BACHELOR AND number of credits in curriculum in exchange MASTER ≥ number of credits UGent subjects MASTER).

  1. Once you have composed your provisional curriculum in exchange, you can enter it in Oasis. To do so, select the exchange application of the partner to whom you were assigned and go to "Exchange Curriculum" under "Details of the exchange application" and "Update".

  1. Click on "Add course" under Exchange courses. Some courses will already have been taken and added by other students, so you can select those courses. Always check the information of the host institution whether the course is still taught at present or in the future, whether the number of credits has remained the same, etc. If it concerns a new course or a course given at the host institution that has not yet been taken by a UGent student, you can add the course by clicking on "New Exchange Course". The number of credits in Oasis is always expressed in ECTS. If you add a new course, you also have to enter the number of ECTS. If you study at an institution that does not use ECTS (so outside the Erasmus zone), you have to convert the number of credits into ECTS. For each course you also give a description and/or link to the study sheet. The language in which you will follow the course must correspond with the name of the course (e.g. you will follow a course in German, then you enter the German name). Once you have added all the exchange courses you will return to the overview. Attention! If you enter a new exchange course, make sure that there are NO spelling mistakes in it. Eventually the course will appear on your diploma supplement and preferably without mistakes. Important! When selecting your courses abroad, do NOT include courses with content you have already seen or courses with content you will see in the future at UGent. The content of courses and study programmes can be consulted in the study guide. If you are taking a master's course at UGent, you will only take master's (graduate) courses abroad. Language courses can only be taken if they are included in your study programme at UGent.
  2. Afterwards, you are going to add the courses you would normally follow at UGent, but which are replaced by exchange courses, by clicking on "Add course". Also if you normally include (an) elective(s) in your curriculum at UGent, you have to add these elective(s). Even if you will not take those electives at UGent. Please note: you can only add courses from the study guide of the current academic year as long as the study guide for the next academic year is not yet available. If there are programme changes, you cannot yet choose the correct courses. This is not a problem. After re-enrolment for the next academic year, you can correct this. If you cannot add the UGent subjects, leave this blank and the International Office will add them. If you need to add elective courses, also add them, even if you will not follow them at UGent.
  3. After you have completed this, you will see in the overview the UGent courses you wish to replace and your exchange courses. Check here whether the number of credits included in the curriculum in exchange ≥ number of credits UGent courses. The number of courses does not need to correspond, only the number of credits.
  4. Afterwards, you submit your exchange application again.

Next steps for students selected for a non-Erasmus destination (UK, Switzerland, outside of Europe):

  1. The FCI (International Office) will check your proposal, give a positive advice or ask for adjustments. Once there is a positive advice, you have the possibility to print a signed document. This results in a contract: learning agreement before mobility. By signing this contract, you agree that if you pass all courses at the host institution (see table A of the contract), you will not have to take the next courses in table B of the contract at UGent. The diploma supplement will contain the courses taken abroad (table A) and not the UGent courses (table B). It is possible to make adjustments to this contract at the beginning of the semester of the mobility. This results in a new contract: learning agreement during mobility.
  2. Once your programme proposal has received a positive advice, print it and sign it yourself, scan it and send it to the host institution for signature (see Application at the partner institution).
  3. Scenario 1: The partner agrees with the proposal. When you have received the complete learning agreement back signed by three parties, you can add it in Oasis under Exchange Requests > Documents exchange request (upload the complete learning agreement, not only the page with signatures). Afterwards, your curriculum will be approved in exchange. Scenario 2: the partner requests changes before departure. You make these changes and submit it again to the FCI for approval. The learning agreement is a contract and can NOT contain handwritten changes!!!

DEADLINES Deadline for submitting your curriculum in exchange: 31 May Deadline for uploading your FULLY signed learning agreement before mobility: 30 June

Next steps for students selected for an Erasmus destination (EU, Norway, Turkey):

  1. The FCI (International Office) will check your proposal, give a positive advice or ask for adjustments.

  2. Once there is a positive advice, the learning agreement will be signed by Ghent University. Next the student has the possibility to digitally sign the learning agreement.

  3. The learning agreement will be digitally sent to the partner university, who will sign the learning agreement or request changes.

    This results in a contract: learning agreement before mobility. By signing this contract, you agree that if you pass all courses at the host institution (see table A of the contract), you will not have to take the next courses in table B of the contract at UGent. The diploma supplement will contain the courses taken abroad (table A) and not the UGent courses (table B). It is possible to make adjustments to this contract at the beginning of the semester of the mobility. This results in a new contract: learning agreement during mobility.
