Re-enrolment at UGent has to happen BEFORE 30 September, even if the academic year abroad starts later. After re-enrolment and once the subjects you will follow at the partner institution have been determined, you introduce your final Curriculum in Exchange in Oasis. This takes place within two weeks after the semester has started at the host institution. Students at UGent must submit their curriculum before 30 September. You will also receive these reminders, but you may ignore them. Exchange students are subject to the academic calendar of the host institution.

  1. Open the OASIS web application via the link http://oasis.ugent.be.
  2. Log on with your UGent username and password.
  3. If necessary, choose the function Student at the top of the screen.
  4. Go to the academic year in which you will make your exchange and where you are re-enrolled, Curriculum and select the menu option Edit Curriculum, followed by the letters of the faculty at which you are enrolled. A page appears with the names and abbreviations of the programme(s) for which you are enrolled.
  5. Click on the link Curriculum next to the name of the programme, connected to your exchange. A pop-up window appears with three tabs, View full curriculum, Edit curriculum for this year and Exchange Curriculum.
  6. Select the tab Exchange Curriculum.
  7. Here you have the possibility to make changes upon arrival at the host institution in the first 2 weeks of the semester.
  8. After your complete curriculum for this year has been arranged, i.e. both the courses you will take abroad, the UGent courses you will replace with exchange courses and possibly the courses you will actually take at UGent, you can submit your curriculum for approval.
  9. Either you will be asked to make adjustments or you will receive positive advice.
    1. Online learning agreement (OLA) After you have received a positive advice on your curriculum, your updated learning agreement will be signed by UGent. You will receive a notification to sign the updated learning agreement. When you sign, the learning agreement will be sent to the partner digitally.
    2. Learning agreement on PDF After you have received a positive advice on your curriculum, you can print a Learning Agreement during mobility from Oasis (Exchange>Documents>Print>Learning Agreement changes) (if there are changes compared to your Learning Agreement before mobility). After a positive advice, this will already contain a signature from UGent. Sign this document yourself and have it signed by the host institution. Afterwards, you upload this document in Oasis (Exchange>Documents>Upload Documents>Learning Agreement Changes). Attention! You can only download a Learning Agreement changes / during mobility if you have uploaded a Learning Agreement before mobility and your exchange curriculum has been approved.
  10. After you have gone through these various steps, your curriculum will be approved.
  11. If there are no changes to your curriculum compared to your Learning Agreement before mobility, a Learning Agreement during mobility is NOT necessary.
  12. If you did not submit a fully signed Learning Agreement before mobility before re-enrolment (because the host institution did not return it), this document will automatically be adapted to your final curriculum. You then have that document signed and you add it in Oasis. In this case your new Learning agreement before mobility will be your final learning agreement.
