After you have been nominated by UGent and the partner institution agrees with the nomination, you can start your application at the partner institution. The application procedure is different for each partner institution. Some partners work with an online system, others want a paper-based application; they all have different deadlines; etc. You can check the application procedure in the partner database. In most cases one or more of the following documents will be requested.
- Application form (online or on paper)
- Support/nomination letter
o Before the central administration has approved your exchange application: fill in the template that you find on the website and submit it for signature in the International Office.
o After the central administration has approved your exchange application: print it yourself via Oasis>Attestation
- Language Certificate
o Option 1: the host institution asks for a specific language test: TOEFL, IELTS, Cambridge, Goethe test German, Instituto Cervantes test Spanish, Alliance Française, test French through specific test centres (see websites of these organisations). You have to register via the websites of these organisations to take a language test. These tests are paying and are organized on specific dates. Register in time for the tests!
o Option 2: the host institution requests a language test of a university language centre, see UCT UGent http://www.ugent.be/lw/uct/nl/taaltesting.
o Option 3: the host institution asks for a proof that you have obtained the required language level, but does not ask for a specific language test. If you include languages in the UGent curriculum, the International Office can provide a confirmation.
- Transcript of Records or ECTS Transcript (overview of your courses and credits already taken at UGent)
o Signed version, this can be obtained at FSA
o Non-signed version, download in Oasis (change language to English: General Information>Exam results)
- Certificate of enrolment UGent (to be printed via Oasis>Certificates)
- Learning agreement before mobility
- Other documents are sometimes requested:
o Bank statement: English letter issued by the bank stating the balances your parents currently have with the bank
o Proof of health insurance: via mutual insurance company and/or supplementary insurance company
o vaccinations, blood test, etc.: via your general practitioner
ATTENTION: As a student, you are fully and solely responsible for submitting and completing the application IN TIME and according to guidelines of the partner institution.
The foreign partner institution may reject incomplete or late applications! Your exchange may then be jeopardized!
